The Brookhaven city council last week approved a purchasing card policy that will allow the city efficiency and provide tight controls on spending.
“We have had a very good policy in place that did require receipts and accounting for any expenses,” said Mayor Rebecca Chase Williams. “But this new policy is very clear, very tough. Employees could be fired for any unauthorized use.”
The new policy mirrors Georgia’s policy that purchases will be tax exempt, can be monitored in real time by the city’s designated card administrator, and certain vendors and items can be blocked.
Only nine Brookhaven city employees and no elected officials have purchasing cards. The spending limits vary by department.
“The key to this is accountability,” said city finance director Carl Stephens. “Users will be able to submit receipts online, and the city’s card administrator will have the ability to shut cards down at any time.”
